Information we collect

• Quote requests. When you use our quote form, we collect your name, email address and message, plus anything else you choose to give us: company, phone number, the service you need, estimated quantity and deadline.
• Artwork and logo files. You can upload a logo or artwork file (JPG, PNG, PDF, AI, EPS or SVG, up to 10 MB) with your request.
• Email and phone. If you email or call us, we receive whatever you send or tell us.
• Basic technical data. Like most websites, our web server automatically records standard log information such as your IP address, browser type, the pages you visit and the time of your visit. We use it to keep the site running, secure and free of spam.

How we use your information

• To reply to your questions and prepare quotes, mockups and proofs.
• To produce, deliver and follow up on your order.
• To set up and support an online store for your organization, if you ask us to.
• To keep the website secure, prevent spam and fix problems.

We don’t add you to a marketing list just because you requested a quote.

Your artwork and logos

Files you send us are used only to quote and produce your order. We don’t share, sell or reuse your artwork or logos for anyone else, and we won’t show your work in our own marketing without your permission. You keep ownership of your artwork.

We don’t sell your information

We don’t sell, rent or trade your personal information, and we don’t share it for targeted advertising.

Who we share it with

We share information only when it’s needed to run our business or fill your order:

• Service providers that work on our behalf, such as our website host, email provider and, if used, spam-protection or website analytics services. They may use the information only to provide their service to us.
• Online stores. The online stores we set up for organizations run on OrderMyGear, a third-party platform. Information you enter on an online store (such as your name, address and order details) is collected by OrderMyGear and handled under OrderMyGear’s own privacy policy, as well as by us to fill your order.
• Legal reasons. If required by law, or to protect our rights, our customers or the public.

Links to other websites, such as our Facebook, Instagram and LinkedIn pages or Google Maps, are governed by those companies’ own privacy policies.

Cookies

Our website does not use advertising or tracking cookies. WordPress sets cookies only for staff who log in to manage the site. If we add website analytics (such as Google Analytics) or spam protection on our forms (such as Google reCAPTCHA or Cloudflare Turnstile), those services may set cookies or collect basic device and usage information to measure traffic or block spam. You can block or delete cookies in your browser settings, and the site will still work.

How long we keep it

Quote requests arrive by email and we keep them, with any files you upload, as long as we need them to serve you, keep business records and handle repeat orders. Uploaded files are not kept on the website after the form is sent. If you’d like us to delete your information sooner, just ask.

Security

We use reasonable measures to protect your information, including encrypted (HTTPS) connections to our website and limited access to customer files. No website or email system is completely secure, so please don’t send sensitive information such as payment card numbers through our form.

Your choices

You can ask us to show you, correct or delete the personal information we have about you, or to stop contacting you. Email info@ottpromo.com or call 414-482-2930 and we’ll take care of it.

Children

Our website is for businesses, schools and organizations. It isn’t intended for children under 13, and we don’t knowingly collect personal information from them. If you believe a child has sent us information, contact us and we’ll delete it.

Changes to this policy

We may update this policy from time to time. When we do, we’ll post the new version here and change the effective date at the top of this page.
